<p>When added to <strong>Koroid</strong> you will receive an account activation email with further instruction.</p>
<p>Follow the email link to the Koroid Login Page. You will need to use your current Okta login information to continue.</p>
<p>Select the <strong><a href="https://koroid.com/support/log-in/">LOGIN WITH OKTA</a></strong> button to log in and activate your account.</p>


Activate your Koroid Account

<p>Using an Owner account, Navigate to <strong>Locations</strong> in the side bar. Then select <strong>NEW LOCATION</strong> in the upper right corner.</p>
<p>Enter the details for the new Location and add any standard <a href="https://koroid.com/support/manage-shift-times/">Shift Times</a> for the Location.</p>
<p>Click <strong>CREATE LOCATION</strong> to save.</p>


Add a New Location

<p>Navigate to the <a href="https://koroid.com/support/users-page-overview/">Users</a> page. Select <strong>NEW USER</strong> (located in the top right corner).</p>
<p>You will be prompted to select a <a href="https://koroid.com/support/user-roles/">User Role</a>.</p>
<p><strong>Note:</strong> <strong>You may only create users in roles below your own</strong></p>
<p>After choosing a role, select the <a href="https://koroid.com/support-category/locations/">Location(s)</a> where they will be working. Then input their necessary contact and login information.</p>
<p>Click the blue <strong>NEXT</strong> button to continue.</p>
<p><strong>Note: The next step(s) differ based on the selected user role</strong></p>
<h3>New Administrators and Managers</h3>
<p>The next screen will display their <a href="https://koroid.com/support/user-permissions/">Permissions</a>. These can be left in the default state or adjusted for your needs. Select <strong>NEXT</strong> to save the user.</p>
<h3>New Staff</h3>
<p>For new Staff, Koroid will move to the Job Titles tab. You may add Job Titles for each Location the Staff member is assigned to.</p>
<p>Select <strong>ADD JOB TITLES</strong> beside each Location and then choose from the dropdown menu options.</p>
<p>At the bottom of the page you must enter an <a href="https://koroid.com/support/employment-types/">Employment Type</a> and any <a href="https://koroid.com/support/credentials/">Credentials</a> for the user.</p>
<p>Select <strong>NEXT</strong> to save and move to their Permissions tab. These can be left in the default state or adjusted for your needs.</p>
<p>Select <strong>NEXT</strong> to save and move to their <a href="https://koroid.com/support/manage-availability/">Availability</a> tab. Add their availability or leave this empty for the user to fill in.</p>
<p>The new user profile is now complete!</p>
<p><strong>Note: You can return to a user's Profile via the <a href="https://koroid.com/support/users-page-overview/">Users</a> page to make changes later on.</strong></p>


Add a New User

<p>Departments are linked to <a href="https://koroid.com/support-category/locations/">Locations</a>, so make sure you have selected the correct Location before editing Departments.</p>
<p><strong>Note: Only Administrators and Owners can edit Departments.</strong></p>
<p><strong>Note: Each Department must have an assigned Manager before a schedule can be made.</strong></p>
<h3>Assign a Manager</h3>
<p>To assign a Manager to a Department, select the pencil icon beside the Department you want to edit, or create a new one.</p>
<p>The screen will display the Staffing Details for the selected Department. Staffing Details outline which Staff Groups are available for scheduling in the selected Department.</p>
<p>Begin by selecting the Staff Group you want to assign, followed by the Job Titles within that Staff Group.</p>
<p>Then select the Manager you'd like to assign. You may assign multiple Managers to each Staff Group.</p>
<p><strong>Note: Only users with the role of Manager will show up here. You will need to create multiple Staffing Details for Managers who oversee multiple Staff Groups.</strong></p>
<p>You may add as many new Staffing Details as you like. Then click <strong>UPDATE DEPARTMENT</strong> to save your changes.</p>
<h3>Editing Managers</h3>
<p>To edit Managers of a Department, select the pencil icon beside the Department you want to edit.</p>
<p>The screen will display the Staffing Details for the selected Department. Change any selections you'd like in the Staffing Details.</p>
<p>After making your changes click <strong>UPDATE DEPARTMENT</strong> to save them.</p>


Assign Managers to Departments

<p>A Shift Request must be <strong>Assigned</strong> or <strong>Offered</strong> to Staff that qualify.</p>
<p>Select an orange Shift Request on the <a href="https://koroid.com/support/schedules-page-overview/">Schedules Page</a> to display the shift details and all qualified Staff.</p>
<h3>Assign Shift</h3>
<p>Select <strong>ASSIGN SHIFT</strong> for any Staff member with matching Availability.</p>
<p><strong>Note: Assigning a Staff member overrides any pending shift offers.</strong></p>
<h3>Offer Shift</h3>
<p>For Staff that do not have matching Availability, you can <strong>OFFER SHIFT</strong>. You may offer a shift to all qualifying Staff. A shift offer is not assigned until a Staff member accepts it.</p>
<p><strong>Note: Once a Staff member reaches their daily max hours, they will no longer appear in shift matching for that date.</strong></p>
<p><strong>Note: Koroid notifies users of assigned or offered shifts according to their preferred <a href="https://koroid.com/support/notifications-and-notification-settings/">notification</a> settings.</strong></p>


Assign or Offer a Shift

<p>Information throughout Koroid is often linked to a specific <a href="https://koroid.com/support-category/locations/">Location</a>. You can see your Current Location in the upper right corner from any screen.</p>
<p>To change your current location click on the Location name.</p>
<p>Select the Location you'd like to view, and click <strong>CHANGE</strong>.</p>
<p>You are only able to view Locations to which you are assigned.</p>


Change Current Location

<p>To create a <strong>Shift Request</strong> navigate to <strong>Schedules</strong> from the sidebar menu and select <strong>SHIFT REQUEST.</strong></p>
<p>Begin by choosing the <strong>Staff Group</strong> and <strong>Department</strong>. Then enter the relevant date and time information. You may select a reason for the <strong>Shift Request</strong> as well.</p>
<p>You must add <strong>Job Titles</strong> that will need to be assigned to the shift. Each <strong>Job Title</strong> must include a number for how many users will be needed for the shift and may include any required <strong>Credentials</strong> (eg. RN, LPN, Fluent Spanish Speaker).</p>
<p>Once you've filled out the <strong>Shift Request</strong> form select <strong>CREATE</strong> to save it.</p>
<p><strong>Note: When viewing a Shift Request, Koroid will automatically display all Staff that qualify. Staff with matching Availability can be directly assigned, while Staff without matching Availability can be offered the Shift.</strong></p>
<p><strong>Note: Shift Requests will display on the Schedules Page in orange until they are assigned or a shift offer is accepted. Once assigned or accepted they will display as green.</strong></p>


Create a Shift Request

<p>The Credentials section allows you to track specialties and licenses for Staff members. These fields can be linked to particular <a href="https://koroid.com/support/staff-groups/">Staff Groups</a> and <a href="https://koroid.com/support/staffing-demand/">Staffing Demands</a> to ensure that the most qualified Staff are assigned where they are needed.</p>
<p><strong>Note: This page refers to managing Credentials for an entire Location. Follow these links to learn about assigning Credentials to <a href="https://koroid.com/support/edit-user-profiles/">Staff or Managers</a>, or creating <a href="https://koroid.com/support/staff-groups/">Staff Groups</a> and <a href="https://koroid.com/support/create-shift-request/">Shifts</a> with associated Credentials.</strong></p>
<h3>Add a Credential</h3>
<p>Navigate to the settings panel on an Owner account and select <strong>Credentials</strong> from the left sided bar menu. Click on the <strong>+</strong> symbol.</p>
<p>Enter a Name and select whether the Credential is an official license (eg. RN, LPN, PA) or a specialty/skill (eg. Spanish Speaker). You can create as many Credentials as you like.</p>
<p>Click <strong>SAVE CREDENTIALS</strong> to save any new Credentials.</p>
<h3>Edit a Credential</h3>
<p>Click on Credential you’d like to edit and enter your changes</p>
<p>You must select <strong>SAVE CREDENTIALS</strong> to save any changes.</p>
<h3>Delete a Credential</h3>
<p>Select the red minus symbol beside the Credential you want to delete.</p>
<p>A box will appear asking you to confirm this decision. To proceed, click <strong>CONFIRM</strong>.</p>
<p><strong>Note: Deleting a Credential will remove that data from all places it is currently in use.</strong></p>


Credentials

<p>In the top right corner, you will see the Current Timezone next to your <a href="https://koroid-website.vercel.app/support/search/change-current-location">Current Location</a>, from any screen. All time associated parameters including Shifts and Availability will be displayed in your current time zone.</p>
<p>The Timezone Picker is responsible for setting your current timezone property and will control all dates/times within your users view.</p>
<p><strong>Note: The “!” symbol in orange circle displayed on your current Timezone signifies that the selected Timezone does not match the Current location!</strong></p>
<p>To change your current Timezone click on the Timezone value. Select the Timezone you'd like the time to be displayed in, and click <strong>CHANGE</strong>.</p>
<p>You are only able to view Timezones that correspond to the Locations you are assigned or administer. When creating a new user, their timezone gets pre-selected with the timezone of their current location.</p>
<p><strong>Note: If for any reason there is no timezone selected, the first timezone from the user’s timezone list is automatically selected.</strong></p>


Current Timezone & Selection

<p>Custom Fields are additional sections that are added to <a href="https://koroid.com/support/staff-groups/">Staff Groups</a>, <a href="https://koroid.com/support-category/departments/">Departments</a>, or <a href="https://koroid.com/support/glossary/">User Profiles</a> in Koroid. These fields can be used to track and manage information specific to an Organization's needs.</p>
<p><strong>Note: Custom Fields can only be created by Owners in Koroid.</strong></p>
<h3>Add a Custom Field</h3>
<p>Navigate to the settings panel on an <a href="https://koroid.com/support/user-roles/">Owner account</a> and select <strong>Custom Fields</strong> from the left sided bar menu. Click on the <strong>+</strong> symbol.</p>
<p>Enter a Name and select the area where you'd like the Custom Field to display. You can add as many Custom Fields as you like.</p>
<p>Click <strong>SAVE CUSTOM FIELDS</strong> to save any new Custom Fields.</p>
<h3>Edit an Existing Custom Field</h3>
<p>Click on field you'd like to edit and enter your changes</p>
<p>You must select <strong>SAVE CUSTOM FIELDS</strong> to save any changes.</p>
<h3>Delete a Custom Field</h3>
<p>Click on the red minus symbol beside the custom field you want to delete.</p>
<p>A box will appear asking you to confirm. To proceed, click <strong>DELETE</strong>.</p>
<p><strong>Note: Deleting a Custom Field will remove that data from all places it is currently in use.</strong></p>


Custom Fields

<h3>For Owners &#x26; Admins</h3>
<p>The Dashboard is an actionable landing page giving you an overview of your <a href="https://koroid-website.vercel.app/support/search/change-current-location">Locations</a> and <a href="https://koroid-website.vercel.app/support/search/manage-departments">Departments</a> in Koroid. It displays two core metrics to help track efficiency across your organization:</p>
<ul>
<li>Total Shifts &#x26; Percent Filled</li>
<li>Total Offers &#x26; Response Rate</li>
</ul>
<p>Specific data for Shifts and Offers, by day or Location, can be seen when hovering over the bar graph and percentage gauge.</p>
<p>The date range for the current data is noted in the upper left corner of the dashboard. You can change the date range with the buttons: <strong>This Week, Next Week, This Month, Next Month.</strong></p>
<p>You can use the <strong>‘Sort By‘</strong> menu to sort the order/ appearance of the Locations by different parameters including; Filled Shifts, Response Rate, Name.</p>
<p>To view the data of the Departments within an individual Location, select <strong>VIEW DEPARTMENTS</strong> beside the name of the Location.</p>
<p>To go back to all Locations view, select <strong>VIEW LOCATIONS.</strong></p>
<h3>For Managers &#x26; Staff</h3>
<p><strong>Managers:</strong> On the Dashboard you can see the current date, the Pending shift count, recent user logins, and all weekly shifts.</p>
<p><strong>Staff:</strong> On the Dashboard page you can see the current date on the left side and a diagram of your weekly shifts on the right side.</p>

<p>To deactivate a user select their profile from the <a href="https://koroid.com/support/users-page-overview/">Users Page</a> and select the <strong>JOBS</strong> tab from along the top of their profile.</p>
<p>Remove all of their <a href="https://koroid.com/support/job-titles/">Job Titles</a>.</p>
<p>Then select the <strong><a href="https://koroid.com/support/user-permissions/">PERMISSIONS</a></strong> tab and turn off all permissions.</p>
<p>After this, they will no longer be available for scheduling or have access to anything within the app.</p>
<p><strong>Note: To fully remove a user, their Okta account must be disabled. To do this, contact an Administrator or reach out to us <a href="https://koroid.com/get-support/">here</a>.</strong></p>


Deactivating a User

<p><strong>Note: You can not remove users that have active shifts. Only inactive users can be deleted!</strong></p>
<p>Navigate to the <a href="https://koroid-website.vercel.app/support/search/edit-user-profiles">profile page</a> of the user you want to delete. Select <strong>DELETE USER.</strong> A box will appear asking you to confirm this decision. To proceed, click YES.</p>

<p><strong>Note: Only Owner accounts can edit Locations.</strong></p>
<p>To edit a Location select the pencil icon next to the Location you want to edit.</p>
<p>Here you can edit the name and address details, as well as add or edit <a href="https://koroid.com/support/manage-shift-times/">Shift Times</a>.</p>
<p>Click <strong>UPDATE LOCATION</strong> to save any changes.</p>

<p><strong>Note: When editing or deleting shift offers we suggest verifying any new details with the currently scheduled Staff.</strong> <strong>You are responsible that the new shifts align with the original Staff member's availability, or are offered to additional Staff.</strong></p>
<h3>Edit a Shift Request</h3>
<p>To edit a Shift Request select it from the <a href="https://koroid.com/support/schedules-page-overview/">Schedules</a> page and click <strong>EDIT</strong>. Enter any changes and click <strong>UPDATE</strong>.</p>
<p>Confirm the changes are correct. Click <strong>UPDATE</strong> again to save them.</p>
<h3>Delete a Shift Request</h3>
<p>To delete a Shift Request select it from the <a href="https://koroid.com/support/schedules-page-overview/">Schedules</a> page and click <strong>DELETE</strong>. A prompt will ask you to confirm, select <strong>YES</strong> to confirm and save.</p>
<p><strong>Note: Shifts created via <a href="https://koroid.com/support/staffing-demand/">Staffing Demand</a> can not be edited from the Schedules Page.</strong></p>


Edit Shift Requests

<h3>Edit Your Profile</h3>
<p><strong>Note: Not all users have access to edit profiles. If you are unable to make edits to your own profile, please contact your Manager.</strong></p>
<p>To edit your own Profile, navigate to the <a href="https://koroid.com/support/profile-page-overview/">Profile</a> page from the sidebar menu. Select the area you'd like to update and make any changes.</p>
<p><strong>Note: You can only change contact information related to your account.</strong></p>
<p>You must select <strong>SAVE PROFILE</strong> to save any changes.</p>
<h3>Edit Another User's Profile</h3>
<p>To edit another user's Profile, navigate to the <a href="https://koroid.com/support/users-page-overview/">Users</a> page from the sidebar menu. Select the user you'd like to edit.</p>
<p><strong>Note: You can only edit the Profiles of users in roles below your own.</strong></p>
<p>When viewing their Profile you can edit their <a href="https://koroid.com/support/user-roles/">User Role</a>, assigned <a href="https://koroid.com/support-category/locations/">Locations</a>, Job Titles, <a href="https://koroid.com/support/credentials/">Credentials</a>, <a href="https://koroid.com/support/user-permissions/">Permissions</a>, and <a href="https://koroid.com/support/manage-availability/">Availability</a>.</p>
<p><strong>Note: Changing the User Role will automatically change the user's Permissions and default notifications.</strong></p>


Edit User Profiles

<p>Employment Types refer to the employment status options for your Staff. You can use this setting to manage various employment agreements.</p>
<p><strong>Note: Full-Time and Part-Time are default Employment Types and cannot be removed (their Max Hours can be changed).</strong></p>
<h3>Adding a New Employment Type</h3>
<p>Navigate to the settings panel on an <a href="https://koroid.com/support/search/user-roles">Administrator account</a> and select the dropdown menu for Employment Types. Click on the <strong>+</strong> symbol to add new Employment Types.</p>
<p>Enter a Name and the Max Hours Per Week allowed for that Employment Type. Click <strong>SAVE EMPLOYMENT TYPES</strong> to save.</p>
<h3>Edit Existing Employment Types</h3>
<p>Select the name or max hours you wish to change. After editing click <strong>SAVE EMPLOYMENT TYPES</strong> to save the changes.</p>
<h3>Deleting an Employment Type</h3>
<p>Click on the red minus symbol beside the Employment Type you want to delete.</p>
<p>You will be asked to confirm your decision. Click <strong>DELETE</strong> to proceed.</p>
<p><strong>Note: If there are employees assigned to the employment type you want to delete you must remove them before deletion is enabled.</strong></p>

Koroid Glossary

<p>This Koroid feature allows <a href="https://koroid.com/support/user-roles/">Owners</a> to view the app from another user's account. Use this tool to help diagnose issues for another user, or make edits on their behalf.</p>
<h3>Begin Impersonating a User</h3>
<p>Navigate to the <a href="https://koroid.com/support/users-page-overview/">Users</a> page from the side menu. Select the user you'd like to impersonate.</p>
<p>In the user's <a href="https://koroid.com/support/profile-page-overview/">Profile</a> page you'll find the <strong>IMPERSONATE</strong> button next to their profile picture.</p>
<p>Koroid will reload with a view of the impersonated user's Dashboard.</p>
<h3>Stop Impersonating a User</h3>
<p>From any page in the Koroid app you can stop impersonating the user.</p>
<p>To do so click the <strong>STOP IMPERSONATING</strong> button along the top of the screen.</p>
<p>Koroid will return you to the Users page.</p>


Impersonate a User

<p>Job Titles designate an employee within a <a href="https://koroid.com/support/staff-groups/">Staff Group</a>. By creating accurate Job Titles you can align users with your scheduling needs quickly and efficiently.</p>
<h3>Add</h3>
<p>To add Job Titles navigate to the <a href="https://koroid.com/support/staff-groups/">Staff Groups</a> page. Add Job Titles to an existing Staff Group by selecting its pencil icon or create a <strong>NEW STAFF GROUP</strong> and add Job Titles there.</p>
<p>Inside the Staff Group select <strong>ADD JOB TITLE</strong>. You can add as many Job Titles as you need.</p>
<p>Save your new Job Titles by clicking <strong>UPDATE STAFF GROUP</strong> (or <strong>CREATE STAFF GROUP</strong> if you are creating a new Staff Group).</p>
<h3>Edit</h3>
<p>To edit a Job Title select the pencil icon beside a Staff Group. Make any changes and click <strong>UPDATE STAFF GROUP</strong> to save.</p>
<h3>Remove</h3>
<p>To remove a Job Title select the pencil icon beside a Staff Group. Click the red minus circle beside the job title you want to remove.</p>
<p>Click on <strong>UPDATE STAFF GROUP</strong> to save.</p>


Job Titles

<p><strong>Note: You need an <a href="https://www.okta.com/">Okta</a> account to use Koroid. Contact your Administrator to get set up, if you do not already have one.</strong></p>
<p>Log in to the Koroid web or mobile app using your Okta account. This will bring you to your <a href="https://koroid.com/support/dashboard-overview/">Koroid Dashboard</a>.</p>
<p>Now you can access the main features of Koroid (<a href="https://koroid.com/support/user-roles/">User Roles</a> limit certain access).</p>


Log In to Koroid

<p>The Availability feature allows Staff to create preferences for their schedule. Staff can input the times that they are available, or prefer, to work.</p>
<p>Keeping Availability up to date helps ensure straightforward and effective scheduling.</p>
<p><strong>Note: Managers can make Shift Offers outside of posted availability. Staff can only be directly Assigned to a shift that matches their availability.</strong></p>
<h3>Web App</h3>
<h4>Add Availability</h4>
<p>Navigate to the <a href="https://koroid.com/support/profile-page-overview/">Profile page</a> and select the <strong>AVAILABILITY</strong> tab. The calendar will display any current or past availability. Select <strong>ADD TIME BLOCK</strong> to to enter any new availability. Select the start date, time, and duration. If you want the availability block to repeat, check the Recurrence box. The recurrence options help you handle regular events automatically.</p>
<p>When finished, select <strong>SAVE</strong> to add the time block to your calendar.</p>
<p><strong>Note: You can not save an overlapping availability. You will need to MERGE the overlapping time blocks, or CANCEL to go back to fix the overlap.</strong></p>
<h4>Edit Availability</h4>
<p>To edit availability, select the block you want to edit and make any changes. Make sure to <strong>SAVE</strong> after finishing your edits.</p>

<h3>Mobile App</h3>
<h4>Adding Availability</h4>
<p>View the Availability page by selecting it from the navigation bar. The calendar will display any availability in the current month.</p>
<p>To add availability, select the <strong>ADD</strong> icon in the upper right corner. Select the start date, time, and duration. If you want the availability block to repeat, select the Repeat dropdown. The repeat options help you handle regular events automatically.</p>
<p>When finished, select <strong>SAVE</strong> to add the time block to your calendar.</p>
<p><strong>Note: You can not save an overlapping availability. You will need to MERGE the overlapping time blocks, or CANCEL to go back to fix the overlap.</strong></p>
<h4>Editing Availability</h4>
<p>To edit availability, select the block from the drawer on the Availability page. While viewing the details, scroll down and select <strong>EDIT</strong>. After making any changes, select <strong>SAVE</strong> at the bottom.</p>
<p><strong>Note: Saving changes to a recurring availability will present two options. You can choose to update only THIS PERIOD or THIS AND FOLLOWING PERIODS.</strong></p>


Manage Availability

<p>Staff assigned to any shift can submit a Cancelation Request. An Admin must <strong>Approve</strong> or <strong>Decline</strong> all requests.</p>
<h3>Approve a Cancelation Request</h3>
<p>Cancelation Requests appear in red on the <a href="https://koroid.com/support/schedules-page-overview/">Schedules</a> page. Selecting the shift gives you the option to <strong>Approve</strong> or <strong>Decline</strong> the request. Approving a request will remove the Staff member from the shift. The shift will revert to open (orange).</p>
<p><strong>Note: Shifts remain assigned to the Staff member until the Cancelation Request is approved.</strong></p>
<p><strong>Note: Staff removed from a shift via a Cancelation Request can not be rescheduled for that same shift.</strong></p>
<h3>Decline a Cancelation Request</h3>
<p>Select a red shift on the <a href="https://koroid.com/support/schedules-page-overview/">Schedules</a> page. In the event details you can <strong>Decline</strong> the Cancelation Request.</p>
<p>Declining a Cancelation Request keeps the Staff member scheduled for that shift.</p>


Manage Cancelation Requests

<p>Departments are linked to <a href="https://koroid.com/support-category/locations/">Locations</a>, so make sure you have selected the correct Location before adding or editing Departments.</p>
<p><strong>Note: Only Administrators and Owners can add or edit Departments.</strong></p>
<h3>Create a New Department</h3>
<p>To add a new department to your location, click on <strong>ADD DEPARTMENT.</strong></p>
<p>Begin by naming the new department and entering the necessary contact information. Select one or multiple <a href="https://koroid.com/support-category/staff-groups/">Staff Groups</a> that are authorized to work in the new department. Any <a href="https://koroid.com/support/custom-fields/">Custom Fields</a> added by an Owner will show up here and allow you to provide additional detail about the Department. Click <strong>SAVE DEPARTMENT</strong> to save your new Department.</p>
<p>A notification bar will confirm its creation.</p>
<h3>Edit Existing Departments</h3>
<p>To edit a Department, click on the pencil icon beside the Department you want to edit. You can update contact information, authorized Staff Groups and Custom Fields.</p>
<p>To save any changes click <strong>UPDATE DEPARTMENT</strong>.</p>
<p>A notification bar will confirm your changes.</p>


Manage Departments

<p>Shift Times allow you to quickly schedule users to common shifts at each <a href="https://koroid.com/support-category/locations/">Location</a> of your <a href="https://koroid.com/support/glossary/">Organization</a>. They are linked to Locations so they have to be added to each Location separately.</p>
<p><strong>Note: Only Owners can add, edit, and remove Shift Times.</strong></p>
<h3>Add a New Shift Time</h3>
<p>Select the Location where you would like to add a Shift Time. Click on <strong>ADD NEW SHIFT TIME</strong>.</p>
<p>You can enter a custom <strong>Label</strong> and <strong>Short Code</strong> to easily identify this Shift Time when scheduling. Set the start and end times and click <strong>UPDATE LOCATION</strong> to save.</p>
<p>You will now see this Shift Time available when scheduling at that location.</p>
<h3>Edit Shift Times</h3>
<p>Navigate to the Locations page and select the pencil icon beside the Location you want to edit.</p>
<p>Make any changes to the Shift Times you'd like to edit.</p>
<p>Be sure to click <strong>UPDATE LOCATION</strong> to save any changes you make.</p>
<h3>Remove a Shift Time</h3>
<p>Navigate to the Locations page and select the pencil icon beside the Location you want to edit.</p>
<p>Click on the red minus symbol next to the Shift Time you want to remove.</p>
<p>Then click <strong>UPDATE LOCATION</strong> to save.</p>

<p>View your notifications by selecting the bell icon in the upper right corner of any page. The dropdown will show your 5 most recent, unread notifications.</p>
<p>Selecting a notification from the dropdown menu will take you to the Shifts page to display the shift details and options.</p>
<p>Selecting <strong>VIEW ALL</strong> will bring you to a table with all of your notifications. From the notifications table you will have access to the notification settings that allow you to toggle your alerts via email, text, or push.</p>

Notifications

<p>The Profile page displays your contact information, <a href="https://koroid.com/support/user-roles/">User Role,</a> and assigned <a href="https://koroid.com/support-category/locations/">Location(s)</a>.</p>
<p>For Staff, tabs along the top allow you to view your Job Titles, and manage <a href="https://koroid.com/support/manage-availability/">Availability</a>.</p>
<p>To edit your contact information, User Role, or Location, simply select the area you'd like to update. You must select <strong>SAVE PROFILE</strong> to save any changes.</p>
<p><strong>Note: Not all users have permission to edit their profile. If you are unable to make edits, please contact your Manager.</strong></p>


Profile Page Overview

<p>If a shift is assigned to a Staff member you need to remove them in order to <a href="https://koroid.com/support/edit-shift-requests/">edit or delete a Shift Request</a>.</p>
<p>Navigate to the <a href="https://koroid.com/support/schedules-page-overview/">Schedules</a> page and select the Shift Request beside the Staff member you'd like to remove. Click <strong>REMOVE USER</strong> at the bottom of the event details window.</p>
<p>A notification will confirm your changes, and the Staff member will be notified that the shift was canceled.</p>


Remove User from a Shift

<p>Using the Reporting page you can create summary tables of historical Shift Data. Providing reporting helps your organization make better and more informed decisions about staffing. Our goal is to help inform smarter staffing decisions. Owners automatically have the permission to run all reports. Admins have the permission on by default however this permission can be toggled off.</p>
<h3>How to run a report?</h3>
<p>To run a <strong>New Report</strong> navigate to the Reports page from the left side menu. Click on NEW REPORT button in the upper right corner and select the Report Type from the drop down menu. Begin by selecting <strong>Report Filters</strong> or use a <strong>Preset</strong>. Click NEXT button in the lower right corner and Select the Report Data by marking the check box in front of the wanted field or check Select All for all data in report. Click NEXT button in the lower right corner and Select the Data Range. You can select a CUSTOM data range or select a certain DAY, WEEK or MONTH. Click GENERATE to create your report.</p>
<p><strong>Reviewing past reports</strong> - All of your generated/past reports are listed on the main Report page under <strong>ALL REPORTS.</strong> Selecting any report will bring you back into the original report as it was initially generated. To go back to <strong>ALL REPORTS</strong> page click on <strong>REPORTS</strong> button in the lower left corner. To save a report as a preset click on the OPTIONS button in the upper right corner and select Save as Preset.</p>
<p>Select the red trash icon beside a report to <strong>delete</strong> it.</p>
<h3>What is a preset and how do I use them?</h3>
<p><strong>Presets</strong> are previous saved reports regarding the Report Filters/Report Type and the Report Data. They are listed under REPORT PRESETS on the main reporting page. Presets help you to generate consistent reports based on the same set of parameters. To use a Preset you can either select it from your list of saved presets in the first step of creating a NEW REPORT or use the QUICK REPORT button. The QUICK REPORT button will ask you to select a date range before generating a New Report based on that Preset.</p>
<p>To <strong>Edit a Preset</strong>, click on the pencil icon beside the Preset you want to edit. You can update Report Details and Report Data. To save any changes click on SAVE . A notification bar will confirm your changes.</p>
<p>Select the red trash icon beside a preset to <strong>delete</strong> it.</p>

Reporting

<p>This feature allows Staff to request changes to their schedule if the need arises. Koroid makes it easy to submit the request and for the Managers to fill the empty shifts.</p>
<p><strong>Note: Cancelation Requests can not be made less than 24 hours before the shift start time. You must contact your supervisor in these instances.</strong></p>
<p><strong>Note: Cancelation Requests are subject to approval from a Manager. Until approved, or if declined, the shift is the responsibility of the Staff member.</strong></p>
<h3>Using the Koroid Web App</h3>
<p>Select the shift you'd like to cancel. You can find the shift on the <a href="https://koroid.com/support-category/calendar/">Shifts Calendar</a> page or in your notifications menu. Once you've opened the shift details you will see the option to <strong>REQUEST CANCELATION</strong>.</p>
<h3>Using the Koroid Mobile App</h3>
<p>Find the shift you'd like to cancel in the Shifts or Notifications pages. While viewing the shift details you will see the option to <strong>REQUEST CANCELATION</strong>.</p>


Request a Shift Cancelation

<p>Shift Offers are invitations to fill any open shifts that falls outside of your provided Availability. You can choose to <strong>Accept</strong> or <strong>Reject</strong> a Shift Offer at your discretion.</p>
<p><strong>Note: Shift Offers are assigned on a first-come, first-served basis.</strong> <strong>If you accept a Shift Offer you will receive an additional notification that you have been assigned to the Shift.</strong></p>
<p><strong>Note: If a Shift Offer has already been claimed, you will get a notification that the offer has expired when you respond to it.</strong></p>
<p>There are multiple ways to respond to a Shift Offer:</p>
<h3>Shift Calendar in Web App</h3>
<p>Locate the Shift Offer in your Shift Calendar. Selecting the shift will display the shift details.</p>
<p>You can then choose to <strong>ACCEPT</strong> or <strong>REJECT</strong> the Shift Offer.</p>
<h3>Notifications in Web App</h3>
<p>Select the Shift Offer from your notification menu to display the shift details.</p>
<p>You can then choose to <strong>ACCEPT</strong> or <strong>REJECT</strong> the Shift Offer.</p>
<h3>Text Message</h3>
<p>When <a href="https://koroid.com/support/notifications-and-notification-settings/">SMS notifications are turned on</a>, Shift Offers will also be sent to users via the phone number provided in their <a href="https://koroid.com/support/profile-page-overview/">Profile</a>.</p>
<p>Shift Offers sent this way will include an assignment code. To accept or reject a Shift Offer, using the code provided, reply with:</p>
<p><strong>Accept + [CODE]</strong> or <strong>Reject + [CODE]</strong></p>
<h3>Mobile App</h3>
<p>On the mobile app you can view the necessary shift details two ways:</p>
<ul>
<li>You can find the shift in the Offered menu on the Shifts page, or</li>
<li>Select the notification for the shift offer on the Notifications page.</li>
</ul>
<p>At the bottom of the shift details you will have the option to <strong>Accept</strong> or <strong>Reject</strong> the offer.</p>
<p>Accepted shifts become assigned and will appear on your Shift Calendar.</p>


Respond to Shift Offers

<h3>Using the Koroid Web App</h3>
<p>To see a shift's details find the shift in your Shift Calendar or in your notifications menu. Once you select the shift you will get a pop-up with all related information.</p>
<p>The Shift Details will always include the Start and End Time as well as Location, Department, Staff Group and Job Title.</p>
<p>From here you can <a href="https://koroid.com/support/request-shift-cancellation/">Request a Shift Cancelation</a> or <a href="https://koroid.com/support/respond-shift-offers/">Respond to a Shift Offer</a>.</p>
<p><strong>Note: All shift times are displayed in the timezone of the shift's Location.</strong></p>
<h3>Using the Koroid Mobile App</h3>
<p>Select the Shifts tab from the navigation menu along the bottom.</p>
<p>The calendar will indicate any Shifts with a blue dot below the date. Each shift will also be listed in the drawer below the calendar. Selecting a shift in the drawer will display that shift's details.</p>
<p>For each month you can view a list of <strong>Assigned</strong> <strong>Shifts</strong> or <strong>Shift Offers</strong> you've received.</p>
<p>Selecting a date on the calendar will automatically scroll to the calendar details for that date.</p>


Review Shift Details

<p>The Schedules Page shows a weekly view of the requested shifts at a particular Location. From here can create new <a href="https://koroid.com/support/create-shift-request/">Shift Requests</a> to fill the schedule, or <a href="https://koroid.com/support/assign-offer-shift/">assign and offer shifts</a>.</p>
<p><strong>Note: To view or edit the schedule at another Location you must <a href="https://koroid.com/support/change-current-location/">change your Location</a>.</strong></p>
<p>Filter the Schedule view using the fields along the top, or with the <strong>Department</strong> and <strong>Staff Group</strong> buttons.</p>
<p>Assigned shifts display in Green.</p>
<p><a href="https://koroid.com/support/manage-cancelation-requests/">Cancelation Requests</a> from Staff show in Red.</p>
<p>Shift Requests, with pending offers or with remaining openings, display in Orange.</p>
<p>Clicking on a Shift Request displays the Event Details. This will also display a list of available Staff that can be assigned or offered the shift.</p>


Schedules Page Overview

<p>Staff Groups help to organize your Staff for scheduling at each <a href="https://koroid.com/support-category/locations/">Location</a>. Create a Staff Group for any collection of Staff that fulfill specific job functions (ex. X-Ray Techs, Oncologists, Unit Coordinators) at your selected Location.</p>
<h3>Add a New Staff Group</h3>
<p>On the Staff Groups page select <strong>ADD STAFF GROUP</strong>.</p>
<p>Name the Staff Group and assign any Credentials or <a href="https://koroid.com/support/manage-shift-times/">Shift Times</a> from the available options. You can add <a href="https://koroid.com/support/job-titles/">Job Titles</a> now or later by clicking <strong>ADD JOB TITLE</strong>.</p>
<p>Click on the <strong>CREATE STAFF GROUP</strong> button to save.</p>
<h3>Edit a Staff Group</h3>
<p>To edit an existing Staff Group, click on the pencil icon at the end of the row.</p>
<p>Once finished, click on the <strong>UPDATE STAFF GROUP</strong> button to save any changes.</p>


Staff Groups

<p>The Staffing Demand page allows you to create repeating Shift Groups that are automatically added to the <a href="https://koroid.com/support/schedules-page-overview/">Schedule</a> on the chosen interval.</p>
<p>Shift Groups are linked to individual Locations. To create a Shift Group for another location you must <a href="https://koroid.com/support/change-current-location/">change your Location</a>.</p>
<p>Use the drop down options at the top of the page to filter the Shift Groups for the current location. Shift Groups can be toggled between Active (green) and Inactive (red) independently.</p>
<p>Once a Shift Group is active, it will repeat at each interval until it is deactivated.</p>
<h3>Create a New Shift Group</h3>
<p>To add a new Shift Group to the Staffing Demand, click on <strong>NEW SHIFT GROUP</strong> in the upper right corner.</p>
<p>Enter the necessary Shift Details and the repetition frequency of this Shift Group. Click on the <strong>CREATE</strong> button</p>
<p>On the following screen complete the new Shift Group by entering Job Titles, Credentials and Staff needs for each day of the week. Then click the <strong>SAVE</strong> button.</p>
<p>When saving, you can choose to immediately activate the created Shift Group by selecting <strong>ACTIVATE &#x26; SAVE</strong> or you can choose to <strong>SAVE</strong> and activate the Shift Group later.</p>
<h3>Edit or Deactivate Shift Groups</h3>
<p>Select the Shift Group you'd like to edit and enter any changes before you <strong>SAVE</strong>. Any edits to a Shift Group will only take effect on the next run date.</p>
<p>To Deactivate a Shift Group, select the one you'd like to Deactivate and click on the red <strong>DEACTIVATE</strong> button.</p>


Staffing Demand

<p>In the top right corner, you will see your selected timezone shown next to your <a href="https://koroid-website.vercel.app/support/search/change-current-location">Current Location</a>. All time associated parameters including <a href="https://koroid-website.vercel.app/support/search/schedules-page-overview">Shifts</a> and <a href="https://koroid-website.vercel.app/support/search/manage-availability">Availability</a> will be displayed based on the selected timezone.</p>
<p>To change your timezone click on the <strong>“Times Displayed In”</strong> button. Select the timezone you'd like to use and click <strong>CHANGE.</strong></p>
<p>You are only able to view timezones that correspond to your available Locations. When creating a new user, their timezone will first be set based on their address.</p>
<p><strong>Note: An icon beside the timezone header indicates that the selected timezone does not match the currently selected Location.</strong></p>


<p>Koroid automatically sets Permissions for new users based on their <a href="https://koroid.com/support/user-roles/">User Role</a>. Organizations can use Permissions to manage access for special use cases if needed.</p>
<p>Owners, Administrators, and Managers can toggle Permissions for any user below them.</p>

User Permissions

<p>User Roles are assigned when adding a new user, or editing a current one.</p>
<p>Each role has certain <a href="https://koroid.com/support/user-permissions/">Permissions</a> that determine the level of access to Koroid's features.</p>
<p>Koroid's User Roles help establish an employee hierarchy, helping you create and organize your team with ease.</p>
<h3>Owner</h3>
<p>The Owner role is assigned to the person that creates and owns the primary Koroid account. They are responsible for initial setup, creating Locations and Administrators. This person has access to all of Koroid but receives no notifications.</p>
<ul>
<li>Person in this role: IT Manager, Head of Operations, Health Service Manager</li>
<li>Can add/edit all user roles, add Locations for the Organization, and manage Organization wide settings</li>
</ul>
<h3>Administrator</h3>
<p>An Administrator is someone that oversees an entire Location. They are in charge of establishing the user base and structure for their Location. They can do this with Departments, Staff Groups, Credentials, and other Koroid features. These people will use Koroid most often for reporting and tracking purposes.</p>
<ul>
<li>People in this role: Dean of Medicine, Head of Human Resources</li>
<li>Can add/edit Managers and Staff, create Staff Groups and Departments</li>
</ul>
<h3>Manager</h3>
<p>The Manager role is for people in charge of scheduling and managing a Staff Group or Department. The Manager has access to edit and create new Staff profiles. They are essential in making and maintaining Schedules using Koroid.</p>
<ul>
<li>People in this role: Head of Surgery, Lead Nurse, Chief Resident</li>
<li>Can add/edit Staff, create Shift Requests, and manage Schedules</li>
</ul>
<h3>Staff</h3>
<p>The Staff role belongs to all shift workers within an Organization. Staff members can be assigned to several Locations, Departments, and/or Staff Groups. Staff members can use Koroid to view and manage their schedule and availability.</p>
<ul>
<li>People in this role: Nurse, Surgeon, Janitor, Receptionist</li>
<li>Limited to managing own Shifts and Availability</li>
</ul>


User Roles

<p>Users can be set as Active or Inactive by toggling a switch in the lower left corner of their profie pages. This allows <a href="https://koroid-website.vercel.app/support/search/user-roles">Owners, Administrators, and Managers</a> to turn these users from Active to Inactive and vice a versa. The time of last action performed on the toggle is displayed next to it.</p>
<h3>Owners</h3>
<p><strong>Active Owners</strong> have full and complete access to Koroid.</p>
<p><strong>Inactive Owners</strong> will no longer have access to any actions within Koroid. They will maintain view-only access.</p>
<h3>Administrators</h3>
<p><strong>Active Administrators</strong> can <a href="https://koroid-website.vercel.app/support/search/manage-departments">manage departments</a> and run <a href="https://koroid-website.vercel.app/support/search/reports">reports</a>, etc. They will receive <a href="https://koroid-website.vercel.app/support/search/notifications">notifications</a> and have full access to Koroid.</p>
<p><strong>Inactive Administrators</strong> will no longer have access to any <a href="https://koroid-website.vercel.app/support/search/schedules-page-overview">schedules</a> or <a href="https://koroid-website.vercel.app/support/search/reports">reports</a>, and can not edit or add <a href="https://koroid-website.vercel.app/support/search/manage-departments">Departments</a> or <a href="https://koroid-website.vercel.app/support/search/staff-groups">Staff Groups</a>. They will not receive notifications but will maintain view-only access to their assigned pages.</p>
<h3>Managers</h3>
<p><strong>Active Managers</strong> can <a href="https://koroid-website.vercel.app/support/search/create-shift-request">create</a>, <a href="https://koroid-website.vercel.app/support/search/assign-offer-shift">assign, and offer</a> shifts. They will receive notifications and have full access to Korod.</p>
<p><strong>Inactive Managers</strong> will no longer have access to any scheduling. They will not receive notifications but will maintain view-only access to the <a href="https://koroid-website.vercel.app/support/search/schedules-page-overview">Schedules</a>, <a href="https://koroid-website.vercel.app/support/search/users-page-overview">Users</a>, <a href="https://koroid-website.vercel.app/support/search/profile-page-overview">Profile</a>, and <a href="https://koroid-website.vercel.app/support/search/staffing-demand">Staffing Demand</a> pages.</p>
<h3>Staff Members</h3>
<p><strong>Active Staff</strong> can be <a href="https://koroid-website.vercel.app/support/search/assign-offer-shift">Assigned to and Offered shifts.</a> They will receive notifications and have full access to Koroid.</p>
<p><strong>Inactive Staff</strong> will no longer appear when assigning or offering shifts. They will not receive notifications but will have view-only access to their <a href="https://koroid-website.vercel.app/support/search/profile-page-overview">Profile</a> and Shifts pages.</p>
<p><strong>Note: Users with upcoming shifts can not be made inactive, they must complete these shifts, or be <a href="https://koroid-website.vercel.app/support/search/remove-user-from-shift">removed</a> from them completely. Only inactive users can be <a href="https://koroid-website.vercel.app/support/search/delete-user">deleted</a>.</strong></p>


User Status

<p><strong>Note: The Users page is only accessible, by default, to Managers and above.</strong></p>
<p>The Users page displays all users assigned to your current <a href="https://koroid.com/support-category/locations/">Location</a>. They are organized by <a href="https://koroid.com/support/user-roles/">User Role</a> along the top of the page.</p>
<p>The Administrator and Manager tabs show those user's assigned Location(s) and last login.</p>
<p>The Staff tab will display those user's basic information: Staff Group(s), Job Title(s), Employment Type, and last Shift.</p>
<p>You can use the fields along the top of the Staff tab to sort, or search for a specific Staff member.</p>
