Manage Availability

The Availability feature allows Staff to create preferences for their schedule. Staff can input the times that they are available, or prefer, to work.

Keeping Availability up to date helps ensure straightforward and effective scheduling.

Note: Managers can make Shift Offers outside of posted availability. Staff can only be directly Assigned to a shift that matches their availability.

Web App

Add Availability

Navigate to the Profile page and select the AVAILABILITY tab. The calendar will display any current or past availability. Select ADD TIME BLOCK to to enter any new availability. Select the start date, time, and duration. If you want the availability block to repeat, check the Recurrence box. The recurrence options help you handle regular events automatically.

When finished, select SAVE to add the time block to your calendar.

Note: You can not save an overlapping availability. You will need to MERGE the overlapping time blocks, or CANCEL to go back to fix the overlap.

Edit Availability

To edit availability, select the block you want to edit and make any changes. Make sure to SAVE after finishing your edits.

Note: Saving changes to a recurring availability will present two options.Selecting THIS PERIOD will update the current event. Selecting THIS AND FOLLOWING PERIODS will update the current event and all others in the series.

Mobile App

Adding Availability

View the Availability page by selecting it from the navigation bar. The calendar will display any availability in the current month.

To add availability, select the ADD icon in the upper right corner. Select the start date, time, and duration. If you want the availability block to repeat, select the Repeat dropdown. The repeat options help you handle regular events automatically.

When finished, select SAVE to add the time block to your calendar.

Note: You can not save an overlapping availability. You will need to MERGE the overlapping time blocks, or CANCEL to go back to fix the overlap.

Editing Availability

To edit availability, select the block from the drawer on the Availability page. While viewing the details, scroll down and select EDIT. After making any changes, select SAVE at the bottom.

Note: Saving changes to a recurring availability will present two options. You can choose to update only THIS PERIOD or THIS AND FOLLOWING PERIODS.


Profile Page Overview

The Profile page displays your contact information, User Role, and assigned Location(s).

For Staff, tabs along the top allow you to view your Job Titles, and manage Availability.

To edit your contact information, User Role, or Location, simply select the area you'd like to update. You must select SAVE PROFILE to save any changes.

Note: Not all users have permission to edit their profile. If you are unable to make edits, please contact your Manager.


Request a Shift Cancelation

This feature allows Staff to request changes to their schedule if the need arises. Koroid makes it easy to submit the request and for the Managers to fill the empty shifts.

Note: Cancelation Requests can not be made less than 24 hours before the shift start time. You must contact your supervisor in these instances.

Note: Cancelation Requests are subject to approval from a Manager. Until approved, or if declined, the shift is the responsibility of the Staff member.

Using the Koroid Web App

Select the shift you'd like to cancel. You can find the shift on the Shifts Calendar page or in your notifications menu. Once you've opened the shift details you will see the option to REQUEST CANCELATION.

Using the Koroid Mobile App

Find the shift you'd like to cancel in the Shifts or Notifications pages. While viewing the shift details you will see the option to REQUEST CANCELATION.


Respond to Shift Offers

Shift Offers are invitations to fill any open shifts that falls outside of your provided Availability. You can choose to Accept or Reject a Shift Offer at your discretion.

Note: Shift Offers are assigned on a first-come, first-served basis. If you accept a Shift Offer you will receive an additional notification that you have been assigned to the Shift.

Note: If a Shift Offer has already been claimed, you will get a notification that the offer has expired when you respond to it.

There are multiple ways to respond to a Shift Offer:

Shift Calendar in Web App

Locate the Shift Offer in your Shift Calendar. Selecting the shift will display the shift details.

You can then choose to ACCEPT or REJECT the Shift Offer.

Notifications in Web App

Select the Shift Offer from your notification menu to display the shift details.

You can then choose to ACCEPT or REJECT the Shift Offer.

Text Message

When SMS notifications are turned on, Shift Offers will also be sent to users via the phone number provided in their Profile.

Shift Offers sent this way will include an assignment code. To accept or reject a Shift Offer, using the code provided, reply with:

Accept + [CODE] or Reject + [CODE]

Mobile App

On the mobile app you can view the necessary shift details two ways:

  • You can find the shift in the Offered menu on the Shifts page, or
  • Select the notification for the shift offer on the Notifications page.

At the bottom of the shift details you will have the option to Accept or Reject the offer.

Accepted shifts become assigned and will appear on your Shift Calendar.


Review Shift Details

Using the Koroid Web App

To see a shift's details find the shift in your Shift Calendar or in your notifications menu. Once you select the shift you will get a pop-up with all related information.

The Shift Details will always include the Start and End Time as well as Location, Department, Staff Group and Job Title.

From here you can Request a Shift Cancelation or Respond to a Shift Offer.

Note: All shift times are displayed in the timezone of the shift's Location.

Using the Koroid Mobile App

Select the Shifts tab from the navigation menu along the bottom.

The calendar will indicate any Shifts with a blue dot below the date. Each shift will also be listed in the drawer below the calendar. Selecting a shift in the drawer will display that shift's details.

For each month you can view a list of Assigned Shifts or Shift Offers you've received.

Selecting a date on the calendar will automatically scroll to the calendar details for that date.
